  • Analysis of Existing Pardot Solution:

    • The team carefully analyzed the client’s Pardot setup to understand existing workflows, contact structures, and integrations before planning the migration to Mailchimp.
  • De-duplication of Contacts in Salesforce:

    • The team conducted a thorough analysis of over 20,000 contact records in Salesforce to identify and clean up duplicate entries.
    • Assistance in de-duplication: The team assisted the client in cleansing the contact data to ensure it was accurate and up-to-date before migration.
  • Data Migration to Mailchimp:

    • The cleaned contact database was successfully migrated to Mailchimp.
    • Custom fields were created in Mailchimp as per the client’s specific requirements to ensure a seamless transition.
  • Salesforce to Mailchimp Integration:

    • Beaufort12, a Salesforce connector for Mailchimp, was installed and configured. This allowed for seamless data synchronization between the two platforms.
    • Mapping Mailchimp Fields to Salesforce Fields: The team mapped Mailchimp fields to their corresponding Salesforce fields to ensure data integrity and consistency.
    • A Field History Tracking Report was provided to the client to keep track of changes to contact records.
  • Recreation of Email Templates, Forms, Tags, and Newsletters:

    • The Astrea team recreated existing email templates, forms, tags, and newsletters from Pardot into Mailchimp to ensure that marketing campaigns could continue without interruption.
    • Automations: New automations were created in Mailchimp to trigger actions such as adding contacts as campaign members when they subscribed to new campaigns.
  • Optimization of Salesforce Duplicate Rules:

    • The Salesforce duplicate rules were optimized to prevent new duplicates from being created in the future.
  • Training and Support for Users:

    • The team provided training to users on how to use the Beaufort12 connector and Mailchimp, ensuring smooth operations post-migration.
  • Automated Sync Between Salesforce and Mailchimp:

    • Automation was set up to ensure that contacts in Salesforce that met specific criteria were automatically synced with Mailchimp for future campaigns.
    • Bi-directional sync was established, ensuring that any changes made in either Salesforce or Mailchimp would be reflected in both systems.

    • The client now has an updated and clean contact database for use in future Mailchimp marketing campaigns.

    • Contacts that meet specific criteria in Salesforce are automatically synced to Mailchimp, ensuring that the marketing system is always up-to-date.

  • Preventing Future Duplicates:

    • With the new deduplication system in place and the optimization of Salesforce’s duplicate rules, the client can now avoid the creation of duplicate contacts in the future.
  • Streamlined Workflow in Mailchimp:

    • The workflows in Mailchimp are now streamlined, allowing the client to run more efficient and effective marketing campaigns without manual intervention or technical hitches.
