Preventive & Reactive Maintenance with IBM Maximo

Project Overview

ABC Office needed a structured Maintenance Management process for its critical generator (GEN001).

The goal was to use IBM Maximo Application Suite to:

  • Track asset lifecycle
  • Standardize breakdown repair actions
  • Automate scheduled maintenance
  • Maintain audit-ready documentation

Business Challenge

Previously, asset maintenance was:

  • Manual
  • Breakdowns were reactive
  • No centralized tracking
  • Lack of preventive scheduling

Without a maintained system, equipment failures caused:

  • Unplanned downtime
  • Unstructured reporting
  • Reactive repairs

Solution Implemented Using IBM Maximo

We implemented a practical system that covers:

1. Asset & Location Setup

  • Created location “OFFICE”
  • Added asset “GEN001 (Generator)”
  • Set asset status to OPERATING

This provided the foundation for maintenance tracking.

2. Reactive Maintenance Workflow

Simulated a real breakdown:

Issue: Generator not starting

Root Cause: Hardware keystick malfunction

We configured a work order with:

  • Failure classification
  • Problem code
  • Technician work log
  • Work order lifecycle tracking

Lifecycle executed through:

WAPPR → APPR → INPRG → COMP

3. Preventive Maintenance Automation

Created a time-based Preventive Maintenance (PM) rule:

  • Frequency: every 30 days
  • PM status: ACTIVE
  • Next due date configured

System auto-generated work orders:

  • Work Order 9309
  • Work Order 9310

This ensured recurring maintenance without manual intervention.
