Conditional Formatting

Conditional Field Formatting in Salesforce can enhance your experience by making your record fields stand out. We’ll dive into its benefits, how to implement it, and provide a real-life business use case to show you how valuable this feature can be.

What is Conditional Field Formatting in Salesforce?

Conditional Field Formatting helps users better understand their data by visually highlighting important information based on certain conditions. It allows you to focus on the most critical elements, such as the status of a record, without having to sift through every single detail.

This feature makes it easy for you to quickly spot key insights and lets you prioritize what truly matters in your workflow.

Enter Winter '25 Release: Conditional Field Formatting

Salesforce listened to its users and brought a game-changing solution in the Winter '25 release. Conditional Field Formatting is now available, and it lets you configure custom visuals using the standard Salesforce Lightning Design System (SLDS) icons directly in the Lightning App Builder.

The best part? You no longer need to write complex formulas or deal with the hassle of manual configuration. This new feature allows you to point-and-click your way to making your record fields more visually engaging, which makes the process simpler and faster for all users, even those with limited technical expertise.

Let’s understand it with an example:

Consider a sales team at an “ABC” company using Salesforce to manage their opportunities. One of the most important fields used to track Opportunity Stage.

We will use conditional field formatting as if the stage is:

  • Closed-Won Opportunities:

For deals that have successfully closed, the Opportunity Stage is highlighted with a Green Solid Circle with Check and a bright green background. This makes it easy to see which opportunities were won and celebrate those successes.
  • In Progress Opportunities:

Deals that are still being worked on, like those not in the "Closed-Won" or "Closed-Lost" stage, are marked with an Orange Solid Circle with Check. This gives the team a quick visual cue to know that these opportunities are active and need continued focus.
  • Closed-Lost Opportunities:

When opportunities are marked as "Closed Lost," they are flagged with a Red Solid Circle with Xand a red background. This makes it immediately obvious which deals didn’t go through, allowing the team to reflect and learn from these outcomes.

Don’t know how to start? Follow the steps below:

1) Open any record page of the opportunity object.

2) Click on the top right setup gear icon and click edit page.

2) A Lightning Page can have a maximum of 15 unique rule sets.

3) Each rule set can have up to 10 rules.

4) Each rule can have up to 10 conditions.

5) Rules are evaluated based on the user’s permission to view the record.

6) Cross-object fields can’t be used in conditional formatting rules.

Conclusion

In conclusion, Conditional Field Formatting in Salesforce is a powerful tool that simplifies data visualization and enhances user experience by allowing critical information to stand out. With this feature, Salesforce users can easily highlight important fields with minimal configuration, making it accessible to a wider range of users, including those with limited technical expertise. Additionally, these formatting rules can be managed directly from the Object Manager, giving administrators more control and flexibility. By leveraging Conditional Field Formatting, organizations can streamline workflows, improve efficiency, and better focus on the most relevant data in real time.
